Development

  • Identify and secure appropriate site
  • Perform market analysis and determine the feasibility of satisfactory investor returns
  • Bring together the investor group sufficient to capitalize the project
  • Establish an LLC with an operating agreement acceptable to the members.
  • Obtain the hotel franchise. This includes preparing and filing the application. The application fee will be reimbursed upon obtaining successful project financing.
  • Manage, oversee, and control the development of the project including the design and construction.
  • Negotiate the necessary construction contrat, long term financing, and leases at terms agreeable to all parties.
  • Sign as guarantor on the franchise agreement and sign as required to secure financing.

Budget and Planning

  • Develop detail pre-opening budget for property for approval by owners
  • Develop project timeline for key activities through property opening date
  • Carry out pre-opening activities within authorized budget
  • Provide monthly reports on project progress
  • Develop detailed operating budget for property for approval by owners prior to opening date

Financial Management

  • Establish bank accounts and other financial services for property
  • Establish third party credit card processing agreements
  • Set up books and chart of accounts needed to perform financial reporting
  • Track and properly account for all pre-opening costs as either operational or capital expenditures
  • With proper accounting controls make payments on authorized invoices and contracts
  • Ensure hotel staff is properly trained to use systems and processes prior to opening date

Design Review and Approval

  • Provide selected architect with necessary specification and requirements from franchisor to develop plans for property
  • Participate in contract negotiations
  • Provide advisement and consultation to architect on plans
  • Coordinate plan approval with franchisor
  • Work with architect to develop contractor specifications

Construction Coordination

  • Review bids / proposals from potential general contractors
  • Participate in the selection of and contract negotiation with the general contractor
  • Act as owners representative with construction process
  • Assist in bringing best of practice solutions to construction to minimize costs, meet construction timelines and provide needed quality
  • Participate in regular progress meetings between architect and general contractor
  • Make payments to general contractor on construction progress as approved by architect and lender
  • Review and approve all change orders following receipt of architects recommendations
  • Coordinate and attend Franchisor construction, fire/life safety and pre-opening review meetings

FF&E

  • Enter into franchisor take-off and FF&E agreements
  • Interface with franchisor regarding FF&E
  • Obtain franchisor approvals on any minor custom FF&E items
  • Finalize and place orders with respective suppliers
  • Track orders and expected delivery dates with respective suppliers
  • Coordinate delivery and installation with general contractor
  • Confirm receipt and proper installation of all FF&E
  • Make payments on completed orders

Inventory, Supplies Contracted Services

  • Establish list of needed inventory and supply items for property
  • Identify appropriate opening inventory levels
  • Solicit bids where appropriate to identify preferred suppliers
  • Obtain materials for opening date
  • Identify potential suppliers of required services (utilities, trash removal, landscape maintenance, elevator maintenance, etc.).
  • Obtain bids as appropriate.
  • Negotiate and execute contracts with selected providers
  • Ensure services are activated in timely manner to support property opening
  • Property management system (equipment, licenses, set up)

Systems

  • Systems include but are not limited to the following:
  • Telephone
  • Security
  • In room entertainment
  • Property management system
  • Audio visual systems
  • Data and Internet
  • Select appropriate suppliers including bid solicitation as appropriate
  • Negotiate and enter into contracts for equipment, installation and services
  • Ensure timely installation and activation of services

Personnel

  • Recruit General Manager (GM) and Director of Sales (DoS) positions
  • Screen and interview candidates
  • Hire GM and DoS four to six months prior to opening
  • Ensure that GM and DoS have or receive required franchisor training
  • Provide additional training at manager’s office and at property consistent with training provided management at other manager’s properties of similar size and type
  • Assist in the recruiting of additional key personnel and other employees for budgeted positions that permit property to open as soon as expected
  • Establish appropriate human resource policies and training programs
  • Set up appropriate employee benefit programs consistent with budget and local industry practice
  • Contract for payroll services

Sales and Marketing

  • Coordinate public relations communications for property consistent with brand image and property positioning from initial development through opening
  • Manager’s sales director shall work closely with property DoS through opening date
  • Coordinate with Franchisor for required pre-opening preparations
  • Update rate information for local market
  • Establish room and other service rates to maximize RevPAR
  • Identify key accounts and create marketing plan
  • Develop needed collateral consistent with marketing plan and budget
  • Call on all key accounts, develop follow up plan
  • Prepare information for franchisor reservations systems and other e-channels
  • Ensure timely activation of franchisor reservations systems and other e-channels
